Windows 11 64 bit
My current version is Microsoft Office Professional Plus 2019 – one off purchase NOT Office 365. I’m running Windows 11 – the 64 bit version on an HP Pavilion laptop.

I’ve had my first Gmail address set up in Outlook for several years, and I’m now trying to add my second Gmail address which I’ve been using for even more years, but have been accessing this directly NOT in Outlook.

It’s saying “Adding this place to your office account” but has now been running for over 12 hours. I did try to “cancel” after an hour or so, but it would not stop. I believe that only one PST file is allowed, so I am assuming that my second Gmail’s data will ADDING itself to the original PST file. For this reason I’m reluctant to KILL IT in case the data for my first Gmail might become corrupted, and therefore lost. So should I continue to let it run? I assume I could KILL IT by a Control/Alt/Delete process or similar but again I’m afraid that I might end up with the original PST file corrupted so losing the Gmails and other data on the first Gmail address.

As separate thought, I might purchase a later Version of Microsoft Office Professional Plus, but again it will NOT be 365.

I look forward to hearing from you.

Hi, Colin, welcome to the forum 🙏

The better practice would of been to have backed up your PST beforehand which in honest truth, should be done regularly.

Can I suggest for the future, this free backup add-on for Outlook PST files, from Github

Gmail now requires an app password be generated through your Gmail account for a Gmail address to be added to a 3rd party email client.
I am assuming you did that?

What I would do for the moment, is if the PST file is in its default location, back it up regardless of what’s going on

Documents/Outlook Files/

If elsewhere, find it and back it up.

At this point it doesn’t matter if the PST has been damaged as what is done is done.
You’ll know if its been damaged because Outlook will not be able to read the current PST file when you next open Outlook.

but has now been running for over 12 hours

As for the current process. Kill it, it’s most likely not doing anything but trying to connect to the server and is having problems. Possibly due to the app password?

Backup the PST before you kill the process.

And FYI, PST files are generly created as per the email address.
For example:
colinaddress1@ gmail.com.pst
colinaddress2@ gmail.com.pst

Far be it from me to tell you what to do when it comes to upgrading your version of office but the only viable option would be Office 2021 and that really isn't all that different from office 2019. The new office 2024 is a mess right now and will be the last stand alone version of office. Support for office 2019 ends 10-14-25. I only know this because i too use 2019 and that is my birthday. If it were me, I'd wait one more year when support runs out. Maybe by then they'll have Office 2024 down pat.

Thanks fishingfool.
That's good to know. I've seen that I could get a 2021 version for about £40, or as you say wait for a year.

That was all extremely targeted and helpful so a big thank you for that!
I did have a backup of the PST file, and having now killed the long running "add my second email address" my Outlook is still working ok. RE YOUR PARAGRAPH "Gmail now requires an app password be generated through your Gmail account for a Gmail address to be added to a 3rd party email client. I am assuming you did that?" ... I think I would have provided the password for my second Gmail address if prompted, or do I need to do something within the settings or whatever for that address before trying again to add it within Outlook? Presumably there must some (fairly simple) method by which I could "read" my backed-up PDF to determine whether or not there are any entries for my second Gmail account in there or not. I've searched extensively for a separate PDF so maybe they are both in the single PDF.
My existing set of folders in Outlook is a bit of a mess. I have two sets of folders as somtime ago I changed from IMAP to POP3. I'm beginning to think I may buy a 2021 Office Pro Plus (can buy it for only £40), then uninstall my 2019 version before starting from scratch with the new 2021. I'm not particularly bothered about having a latest version at all.

Are you confusing PST with PDF?

It doesn’t matter if you have 2019 or 2021, you’ll still face the same issues.

To use a Gmail account in Outlook you need to have either an app password generated from your Gmail account or 2 factor authentication activated in your Gmail account.

If you have 2 factror authentification activated in your gmail account its quite easy adding your Gmail address to outlook. You just need to approve adding your Gmail address to Outlook depending on the settings you have with Gmail authentication (Authenticator App, text message etc)

PST files are for POP3 setups and are proprietary to Microsoft. IMAP use universal.

Can I suggest you watch a video, or this video to help. If you have questions, please ask and we’ll see if we can help you.

I agree. I too have 2019 and was thinking of getting 2021 but decided not to bother. Although it is 2-years later it only gets 1 extra year of extended support so I decided it's not worth the hassle of upgrading.
2019 support ends 14th October 2025
2021 support ends 13th October 2026.
