Accounts Add and Remove Microsoft, Work, or School Accounts used to sign in by other apps in Windows 11

This tutorial will show you how to add and remove accounts used by other apps to sign in with for your account in Windows 11.

Windows 11 makes it easy to add the Microsoft accounts or Work or school accounts you use for your apps in one place so you can sign in to your favorite apps easier and faster.

When you add an account in this central location in Settings, that account will be a listed account available to select to sign in to an app with. This can be handy so you no longer have to manually add the account for each individual app you want to sign in to with it.

If you sign in to Windows 11 with a Microsoft account, it will automatically be added under Accounts used by other apps.

Option One

Add Microsoft Account to be used by other apps to sign in


1 Open Settings (Win+I).

2 Click/tap on Accounts on the left side, and click/tap on Email & accounts on the right side. (see screenshot below)

3 Click/tap on the Add a Microsoft account link under Accounts used by other apps on the right side. (see screenshot below)

4 Type in the email address of the Microsoft account you want to add, and click/tap on Next. (see screenshot below)

5 Type in the password of the Microsoft account you want to add, and click/tap on Sign in. (see screenshot below)

6 If you have two-step verification turned on for the Microsoft account, you will need to click/tap on how (ex: text) you would like to get a security code, enter any required information, and click/tap on Send code. (see screenshots below)

A) Enter the code you received from Microsoft, and click/tap on Verify. (see screenshot below)​

7 Click/tap on Microsoft apps only or Next for what you want. (see screenshot below)

Microsoft apps only = You continue to sign in to Windows 11 with your current account. This added Microsoft account will be available to select to sign in to apps and websites with. If you currently sign in to Windows 11 with a local account, you will continue to sign in to Windows 11 with the same local account.

Next = This added Microsoft account will be used everywhere on your device. Windows 11 will remember this added Microsoft account and make it easier to sign in to apps and websites. You will be able to find a lost device, sync your settings to other devices, and ask Cortana for help. You will be signed in to all Microsoft apps with this Microsoft account automatically by default. You will now sign in to Windows 11 with this Microsoft account instead of your current account. If you currently sign in to Windows 11 with a local account, this will now be like signing in to Windows 11 with a Microsoft account, but is now a hybrid account.

8 If you clicked on Microsoft apps only, you can click/tap on the added Microsoft account to expand it open, and select Microsoft apps can sign me in or Apps need to ask me to use this account for how you want this account used by apps. (see screenshot below)

If you clicked on Next, then only All apps can sign me in will be available for Sign in options for the added Microsoft account.

9 When finished adding accounts, you can close Settings if you like.




Option Two

Remove Microsoft Account to be used by other apps to sign in


1 Open Settings (Win+I). (see screenshot below)

2 Click/tap on Accounts on the left side, and click/tap on Your info on the right side. (see screenshot below)

3 Click/tap on the Stop signing in to all Microsoft apps automatically link (if available) on the right side. (see screenshots below)

You will only have the Stop signing in to all Microsoft apps automatically link if you clicked on Next instead of Microsoft apps only for Use this account everywhere on your device for your local account.

If you see a Sign in with a local account instead link instead, then skip this step and go to step 4 below instead.

4 Click/tap on Accounts on the left side, and click/tap on Email & accounts on the right side. (see screenshot below)

5 Under Accounts used by other apps on the right side, click/tap on the Microsoft account you want to remove to expand it open, and click/tap on the Remove button. (see screenshots below)

A Microsoft account will not have a Remove button available if is is being used to sign in to Windows 11.

6 Click/tap on Yes to confirm. (see screenshot below)

7 When finished removing accounts, you can close Settings if you like.




Option Three

Add Work or School Account to be used by other apps to sign in


1 Open Settings (Win+I).

2 Click/tap on Accounts on the left side, and click/tap on Email & accounts on the right side. (see screenshot below)

3 Click/tap on the Add a work or school account link under Accounts used by other apps on the right side. (see screenshot below)

4 Type in the email address of the work or school account you want to add, and click/tap on Next. (see screenshot below)

5 Type in the password of the work or school account you want to add, and click/tap on Sign in. (see screenshot below)

6 Windows will now register this work or school account with the organization. (see screenshot below)

7 When finished, click/tap on Done. (see screenshot below)

8 The work or school account will now be added. (see screenshot below)

9 When finished adding accounts, you can close Settings if you like.




Option Four

Remove Work or School Account to be used by other apps to sign in


1 Open Settings (Win+I). (see screenshot below)

2 Click/tap on Accounts on the left side, and click/tap on Access work or school on the right side. (see screenshot below)

3 Under Add a work or school account on the right side, click/tap on the work or school account you want to remove to expand it open, and click/tap on the Disconnect button. (see screenshot below)

4 Click/tap on Yes to confirm. (see screenshot below)

5 When finished removing accounts, you can close Settings if you like.
