Hello everyone,

Sorry for this second post today, but I have a little problem with my new Outlook e-mail account. I tried to create a new rule in which all messages are forwarded to my old e-mail address and then deleted. However, after saving the new rule and order of actions is switched so the first action becomes delete message(s) and the second action becomes forward message(s). This results in all messages are deleted first and then messages are never forwarded to my old e-mail. Is there some code I can insert to lock the order of events in my new rule?

Hello everyone,

If you forward any email, it will go in the Sent box as there is no Forwarded folder.
So you need to do the following:
In New Outlook:
  1. Open Settings
  2. Go to Mail, Forwarding
  3. Enable forwarding
  4. If you don't want to save a copy, then uncheck the "Keep a copy of forwarded messages" box.
The rules should look like this:

Hi @OAT,

Thanks for the reply. That is exactly how I created my rule, but for some strange reason the two actions get switched once I save the rule. That is, the delete action comes before the forward action.

I now have activated forwarding in the e-mail settings. Thanks!

Hi OAT,

I'm afraid it's no longer working. I used the Forum e-mail notification as a test (e-mail notification whenever someone post a reply to my thread ("watching")). Well, the notification e-mail was sent to my new e-mail, but was never forwarded to my old e-mail. So, now my rules are not working. Note that the Forum notification e-mail is still in my (new) e-mail Inbox, neither forwarded nor deleted.

  1. Create a New Rule:
    • Select "Apply rule on messages I receive" or "Apply rule on messages when they arrive".
    • Set your condition (e.g., from a specific person, with certain keywords).
    • In actions, check "Forward it to people or public group" and select the forwarding address.
    • Crucially, add another action: "Delete it", "Move it to the Deleted Items folder", or "Move it to the specified folder"
In this case it don't "deletes" them but moves them to the trashcan. You have to periodically empty this trashcan. Don't know if there is an option that will empty it once a week. It seems to be possible when you close your Outlook or altering the AutoArchive function.
  • Classic Outlook (Desktop App):
    1. Go to File > Options > Advanced.
    2. Under "Outlook start and exit," check "Empty Deleted Items folder when exiting" or set up AutoArchive for folders (Folder tab > AutoArchive Settings) to clear them after a set time.
  • New Outlook / Outlook.com (Web/App):
    • Settings are often server-controlled, but you can manually empty the folder by right-clicking Deleted Items and selecting Empty Folder, then clicking "Recover items" and "Purge Selected Items" to permanently delete.
Make sure this is set on the Clientside. If you do it on the Server side it will do it but never let's you know it happend. (Maybe handy if you want to track if it does what it's supposed to do.)

I have also have some troubles with rules. Sometimes when I make them. They don't follow "the rules" always; Coming from and moving to this folder. Sometime a new message arrives and does not move them. So I create a 2nd identical rule. This while conditions are the same (identical) There seems something different inside the message that does not show up in Outlook. It seems so simple; If from this e-mail address then move it. Sometimes it don't. I suspect that there is a little difference in the e-mail header. (It should only look at the bare e-mail address)

I don't see these options in the web version of Outlook, but I do, however, see them in the desktop (Office) version. Please be aware, I am working with the web version of Outlook and don't want to use the desktop version for this new e-mail address.

Hello everyone,

I am happy to report that today my new e-mail account it forwarding messages to my old account as expected. However, I took out the delete message in the rule(s). I'm afraid the delete rule will override the forward rule.

Does anyone know how to out smart Outlook and have the delete rule remain last in the chain of commands?

Hello,

Further to my previous e-mail this morning, I am even happier to report that my new Outlook account is working as hoped. That is it is forwarding new messages to my old e-mail and then deleting the message(s).

So, what I did was add forwarding (to my old e-mail) in the new account under Settings>Forwarding and IMAP, create two identical Rules for forwarding e-mail and then created a third Rule to delete all messages (in my Inbox).

I would like to thank @OAT for the answer and @hader for the help.
