How do you organize your files and folders?

Hello community!

Over time, I have been using different ways to structure my files, and each time I think I have a found a perfect structure, it only lasts a few months before I think about another way which seems to be a better way to setup the files.

However, if there is one thing that must be followed, it is to keep the file structure extremely simple and consistent on all the devices. That makes it much easier to manage files.

Things to consider when setting up are as follows:

1. Simple: avoid too much nesting, i.e. creating too many sub-folders.
2. Security: should be easy to apply permissions that determine which users are allowed to access files, and what would be their access levels (read-only, write, modify)
3. Access controls: Which folders are Read-only, Write access and Modify permissions.
4. Sharing: which folders would be shared between users on the same device.
5. Remote Access: which folders would be accessible from other devices.
6. Backup: which folders would be included in automatic backups.

Difference between Sharing and Remote access: Sharing is between users on the same device. Remote access is accessing files and folders from another device.

I would prefer suggestions for Windows HOME users, who are the majority. Home editions don't have access to Group Policies, so setting up is a little more challenging/ time consuming.

There cannot be a universal solution because each user has a different requirement. So you may post how you set it up and the reasons for doing so.

Ideas should be such that any change required should involve minimal steps to implement without disturbing the setup.

Here's my current setup:

I create 3 standard user accounts in my system, in addition to my primary administrative account:

1. TheMystic: main account (administrator) for logging in to my computer
2. Me: my 2nd account (standard user) with less privileges to remotely access my files/ folders in my computer
3. Family: to allow my family to remotely access some of the files and folders in my computer
4. Guest: to allow friends/ relatives/ guests to view/ download specific files and folders created for this purpose

Accounts 2, 3 & 4 are created solely for the purpose of remote access into my system. I'll explain that shortly.

I allocate a dedicated partition on my disk for exclusive use of the OS and programs, and a separate partition for my files (or data).

I create a folder called Files - Laptop in my data partition. This folder has the following sub-folders:

1. 00. DropBOX: Everyone has read/ write (but NOT modify) access. People can drop a file I want here.
2. 00. ShareBOX: Everyone has read-only access. People can view and download files from here. This folder contains files of a non-personal nature like movies, music, wallpapers, ringtones, softwares, etc.
3. 01. Libraries
  • Documents: This also includes documents backed up from my mobile devices, inside their respective sub-folders. All my personal and important documents, however, go in my OneDrive folder, and not here. I have an Office 365 Family subscription, so that's 6 TB of cloud storage.
  • Downloads: This also includes downloads backed up from my mobile devices, inside their respective sub-folders
  • Family: My camera roll, pictures and videos from Family events, Holidays, etc. go here. Only Family has read/ write (but NOT modify) access to this folder. The camera roll from my mobile devices are backed up here.
  • Music
  • Pictures: This also includes pictures (except camera roll) backed up from my mobile devices, inside their respective sub-folders
  • Videos: This also includes videos (except camera roll) backed up from my mobile devices, inside their respective sub-folders

4. Other folders

The numbers preceding the names in the 1st three folders is just to keep them on top of the list in File Explorer.

Of course, I have Modify access over most folders remotely (since I use the 2nd account for this purpose), and Full Control locally as I am the Administrator.

Since all the above folders, including libraries, are in a separate data partition, I have mapped the default libraries (which are originally mapped to folders in the system drive) to their respective categories in the 01. Libraries folder.

The root folder, i.e. Files - Laptop is shared in the local network and is only accessible with my login credentials. This allows me to access any file/ folder I want on the laptop from any of my other devices. This also allows me to wirelessly backup/ sync files between my laptop and my mobile devices.

00. DropBOX, 00. ShareBOX & Family folders are also shared on the local network.

That would summarize my current setup. When backing up my laptop to my external disks, I maintain the exact same file structure to keep things simple.

I've used Microsoft OneDrive for many years.
All my data is kept in OneDrive.

I subscribe to Microsoft 365 which includes one terabyte of OneDrive cloud storage.
Whenever I add a file or change a file in OneDrive, it is updated in real-time in cloud storage.
I make a local Microsoft File History backup to a portable SSD every night.

My Folders under OneDrive are:
Documents
---Word
---Excel
---OneNote
---PDF Files
---Mobi (Kindle files)
---etc.
Music
---Music PDF scores (I'm a classical pianist)
---StaffPad Scores (I write music)
---etc.
Pictures
---Hundreds of Chronological Folders of images (Fully searchable using Adobe Lightroom)
Trades
---Chronological Charts of stock trades (I trade stocks for a living)

My tree structure under OneDrive is extensive and it would serve no purpose to list it all.

I currently have about 450GB of OneDrive data files.
Everything I have in OneDrive is fully searchable by date, filename, content, etc.
OneDrive keeps the same files and file structure on all my computers.
When I buy a new computer and I log in to Windows my OneDrive data is instantly there!
This has worked well for me for many years.

I keep my pc just for me, and only backup to an external SSD. I do the same on my wife's PC if we sync MS or Google I get all her stuff and visa versa so we keep them totally separate. I back up Documents, Bookmarks, Photos, Music, Playlists, Videos etc just the usual stuff and I do a Macrium image regularly.

@TheMystic well the sort of things I got and the way I work now I don't really need it, but it's easy to sort if ever I do. All I ever do is share via the public folder between machines if needed

What about the other files? Don't have a need to remotely access them?
What other files? ALL my data is kept in OneDrive. I can buy a new computer, log in to Windows, and ALL my data is there. I then add LastPass, all my passwords are now there. I then download MS Office and all my other applications. Even all my favorites in Edge are all there. My new PC is now complete. I've done this many times over the years.

I have my own backup procedures with specific sources and destinations. I use my own bat file that i prepared.
I also save file lists of my drives. So if I loose any of them I can download them again.

OneDrive is useful for works and school. And I can access from also my phone.

3 USB Drive for my personal files (I am keeping 1 main and 2 backups) I dont want ot loose them, I cant loose them, or I dont want to live without them. :)

3 USB Drive for OS Installation and Programs.

3 Removable Drive; you can see they are medias, like music, films, books, games.

I have 2 SSD inside my laptop.
One of them is 2 partion
SSD1 1st partion for windows OS
SSD2 2st partion for personal files, programs and games
Other SSD3 is for backup, and programs instalation files i keep.

If you make your backup multiple and distributed, it will be more advantageous in case of crisis.
If you only use OneDrive, you may lose all of your data in case of any hacking.
If you only use one Removable Drive, it can be stolen, can fall to the ground, can be damaged.

It is my way. :)

    I can simply say that I took the red pill and I am not happy with it.
What other files? ALL my data is kept in OneDrive. I can buy a new computer, log in to Windows, and ALL my data is there. I then add LastPass, all my passwords are now there. I then download MS Office and all my other applications. Even all my favorites in Edge are all there. My new PC is now complete. I've done this many times over the years.

When you said 450 GB data online, I thought it comprises only the important files. These days people run short of storage despite having several TBs of Disks available. So the question.

That is my current setup and I am trying to improve upon it.

In backup procedures I also use 7za.exe 7-zip command line tool.

An example.

SSD2 I keep program folders in 2 different folder named "NET" and "PRG"
PRG Folder; I blocked internet traffic for all exe and dll file in PRG folder because they do not need internet accsess.
NET Folder is for programs that require internet connections, for example qbittorrent, chrome, torbrowser.

In my backup procedure for NET, there are 2 bat files one of them is full backup of NET Folder.
Other one is a kind of component backup only Chrome and Tor Bookmarks with this.
For getting chrome bookmarks I need a powershell script that I found on stackoverflow.

Credit and address are in the code for powershell script. I am using Portable version of Chrome Browser so I changed the folder address in the code.

Time label is set for Turkish standarts in my batch files so you will get wrong label if you use it in US or another Time-Date standart.

Are you doing all this because you don't want to use a 3rd party app to backup files for you?

I use Personal Backup and it does the job wonderfully well.

Text files take up very little storage space. I ruthlessly cull my photo images for only the best, whereas some save everything they ever do. If I saved every image I ever made, I too would probably have several terabytes to needlessly store. I'm just an amateur photographer and my percentage of keepers is very low. :eyeroll:

Agree. There is a lot of junk that people will never use, yet they can't make up their mind to simply delete them. This includes me too and I'm trying to get rid of this mentality.

Storage may be much more affordable today, but the problem is managing them. I find myself moving around files quite often, doing backup of lots of files I'll probably never use. That's a big waste of time, energy and also storage.

Still trying to find the perfect way of managing files and getting rid of clutter.
