MY Outlook 2021 file has been changed to an .ost file from a .pst. How to I convert back to a .pst file

As you know there is a lot of technical documentation and tutorials online about this stuff. Before I retired as an IT Manager I used to admin Exchange Online in Microsoft 365 for a nationwide global non-profit as one of my many tasks. Now I'm a retired IT dinosaur.

I got offered an IT job here once, by luck of knowing the right person, for a major retail chain.

I told them that I was busy having a heart attack that day. Networking does my head in.

With Exchange of course heaps of stuff can only be sorted using Powershell scripts and the like.

Hi there.

In your original post you hadn’t mentioned that you are using an IMAP account.
PST files are generally used with POP3 accounts.
The only way you could have been using a PST file would have been if it was added independently and you were dragging mail into it.

So in the left pane of Outlook, you would have seen
A. Your IMAP account (which always used an OST file)
B. The PST file
Or PST at top, IMAP email address underneath.

The issue here on is (I believe) where did the PST file that was living in Documents\Outlook Files folder go?
But I am not saying what you experienced isn’t true. I have seen some crazy stuff with Outlook

it wouldn’t be that hard to accidentally remove the PST file from the left pane.

I realise this. Microsoft might do some stupid crap but they aren’t about to vanish someones PST file, not on purpose, it’d be a mass class action. I know I originally said that they may be being sneaky, that was before I found out you were using an IMAP account and thinking it was using a PST file.
To remove a PST file from the left of Outlook wouldn’t be hard, as I said, accidentally.
At the same time, removing the PST file from the Documents folder, would be a rare coincidence.

You never said if you looked in the recycle bin.

Converting a PST file from PST to OST would most often take manual interaction.
Are ALL the emails from the PST file (That you can remember) still in the new OST file?
If mail that exists in your PST file had been removed from the server (via settings in Outlook or manual deletion by entering the server) then it will not exist in the new OST file unless you manually drap those emails from the PST to the OST so as the OST can sync what you dragged and dropped.

By luck, if the emails are still there and intact in the OST, you could simply create a new PST file in Outlook and drag the IMAP mail into folders you create in the PST

I mentioned earlier, I have been using an Outlook Addon for many years. Works with Office 2016, 2019, 2021 and as far as I know, the last time I checked on a members account, last week, still works with Microsoft 365 (Not sure what will happen there with the upgrades, but not your problem)

Install it and you will notice a new entry at the top of Outlook called “Backup”
Configuration when you enter "Backup" isn’t hard.
It will backup PST files (uncompressed) and OST files to a location of your choice.
It has saved my butt quite a few times, as well as members I have installed it for.

The guys website seems to have disappeared (we noticed last week), but the Addon updated in 2023 still works really well.

May I throw in my 2 cents. Since you say this change happened in an update, if you are using a MS account and syncing your documents folder to Onedrive , there's a chance your missing .pst file is in Onedrive on the web's recycle bin. (notice I say chance). Log in there and look in recycle bin
