Browsers and Mail Enable or Disable Automatic Translation of Email Messages in Outlook for Windows 11

This tutorial will show you how to enable or disable the automatic translation of email messages received in other languages in the Outlook for Windows app for your account in Windows 10 and Windows 11.

The new Outlook for Windows brings the latest features, intelligent assisted capabilities and a new modern and simplified design to your Outlook app. You can tailor it to your style and do more with new Outlook for Windows.

Starting in June 2023, Microsoft is beginning the process of migrating existing Windows Mail, Calendar, and People users to the new Outlook for Windows.

Beginning in 2024, Windows 11 devices will be shipped with the new Outlook for Windows as the default mailbox application free for all to use. The Mail and Calendar apps will continue to be available via download in the Microsoft Store through the end of 2024. On existing devices, users can switch to the new Outlook for Windows from a toggle in the Mail and Calendar apps.

By default, when you receive an email message written in another language, a prompt will appear at the top of the message asking if you'd like Outlook to translate it into your default language.

You can choose to Always translate, Ask me before translating (default), or Never translate email messages in Outlook for Windows.

Here's How:

1 Open the Outlook for Windows app.

2 Click/tap on the Settings (gear) icon on the toolbar. (see screenshot below)

3 In Settings, click/tap on Mail in the left pane, and click/tap on Message handling in the middle pane. (see screenshot below)

4 Do step 5 (enable) or step 6 (disable) below for what you want.

5 Enable Ask or Automatic Translation of Email Messages in Outlook for Windows

A) Under Translation, select (dot) Always translate or Ask me before translating (default) for "Choose how to handle messages received in other languages". (see screenshot below)​

B) Under Translate messages into this language, select the language (ex: "English") you want.​

C) If wanted, under Don't translate the following languages, select the language (ex: "Spanish") you don't want translated, and click/tap on Add. Repeat this step for all languages you don't want translated.​

The language you select for Translate messages into this language will automatically be added to the Don't translate the following languages list.


D) Click/tap on Save when finished, and go to step 7 below.​

6 Disable Automatic Translation of Email Messages in Outlook for Windows

A) Under Translation, select (dot) Never translate for "Choose how to handle messages received in other languages". (see screenshot below)​

B) Click/tap on Save, and go to step 7 below.​

7 You can now close the Settings window if you like.
