Built in outlook email client - not purchased outlook

Hi, currently using the built in Outlook email app on windows 11 pro version
You have Microsoft Outlook Version 1.2024.131.300 (Production).
Client Version is 20240202008.12 .

I have 5 accounts currently using with app and i want to know how i can setup outlook or on the email provider back end to delete emails from their email server as well, when i click delete in outlook it should delete it from the server but is not how can fix this? i do not want to go into the server to delete from there.

I currently using 3 accounts for gmail , 1 for outlook and another from yahoo.

Is this only happening on the Gmail and Yahoo accounts? When setting up those emails, did you just do an email forward or are those accounts individually setup in your Outlook? If they are just forwards, you need to select the option from Gmail and Yahoo on the web to not keep messages on those respective servers.

for gmail settings: please let me know what i need to change ?

I have setup all 5 accounts in the outlook client app built into windows 11 not using outlook full client app see pic

For Google (& possibly the other accounts) ensure delete from server when deleting from trash (or similar wording) is selected, currently you have it set to archive, there’s the option to move to Trash or delete forever - I would choose move to Trash, from Outlook Mail you can empty that folder.

@Gridmstr75 How’s the suggestions going? Has the problem been fixed?

ty for responding back very rare to do so .. i was able to fix Google however for outlook email to be deleted it should delete it straight from the server , i have not checked yahoo email settings yet.

The inbuilt mail app is just a connection to the specific account’s online server rather than downloading emails to the pc. It should delete when deleting from the client but many accounts are set to archive rather than delete so check that setting as well.
