Browsers and Mail Turn On or Off Automatic Replies in Outlook for Windows 11

This tutorial will show you how to turn on or off sending automatic replies to email messages in the Outlook for Windows app for your account in Windows 10 and Windows 11.

The new Outlook for Windows brings the latest features, intelligent assisted capabilities and a new modern and simplified design to your Outlook app. You can tailor it to your style and do more with new Outlook for Windows.

Starting in June 2023, Microsoft is beginning the process of migrating existing Windows Mail, Calendar, and People users to the new Outlook for Windows.

Beginning in 2024, Windows 11 devices will be shipped with the new Outlook for Windows as the default mailbox application free for all to use. The Mail and Calendar apps will continue to be available via download in the Microsoft Store through the end of 2024. On existing devices, users can switch to the new Outlook for Windows from a toggle in the Mail and Calendar apps.

You can use automatic replies in Outlook to let others know you're on vacation or aren't available to respond to email. You can set your replies to start and end at a specific time. Otherwise, they'll continue until you turn them off. Automatic replies are sent once to each sender.

Here's How:

1 Open the Outlook for Windows app.

2 Click/tap on the Settings (gear) icon on the toolbar. (see screenshot below)

3 In Settings, click/tap on Accounts in the left pane, and click/tap on Automatic replies in the middle pane. (see screenshot below)

4 If you have more than one email account added to Outlook, then select the email account in the These settings are applied at the account level drop menu you want to apply changes to. (see screenshot below)

5 Do step 6 (on) or step 7 (off) below for what you want.

6 Turn On Send Automatic Replies in Outlook for Windows

A) Turn on Turn on automatic replies. (see screenshot below)​

B) Perform one of the two options below for what you want: (see screenshots below)​
  • Uncheck Send replies only during a time period to have automatic replies remain on until you turn it off.
  • Check Send replies only during a time period, and then:
    • Select a Start time and End time for automatic replies.
    • Check or uncheck Block my calendar for this period.
    • Check or uncheck Automatically decline new invitations for events that occur during this period.
    • Check or uncheck Decline and cancel my meetings during this period.

C) Type the message you want to automatically send to people. (see screenshot below)​

D) Check or uncheck (default) Send replies only to contacts for what you want. (see screenshot below)​

E) Click/tap on Save, and go to step 8 below.​

7 Turn Off Send Automatic Replies in Outlook for Windows

This is the default setting.


A) Turn off Turn on automatic replies. (see screenshot below)​

B) Click/tap on Save, and go to step 8 below.​

8 You can now close the Settings window if you like.
